Accessibility for Ontarians with Disabilities – Multi-Year Accessibility Plan

Section 1: Introduction and Background Information

Baylis Medical is committed to treating all people in a way that allows them to maintain their dignity and independence. We are committed to meeting the needs of persons with disabilities in a timely manner, and will do so by preventing and removing barriers to accessibility and meeting accessibility requirements set out in the Accessibility for Ontarians with Disabilities Act (AODA); provided it does not cause Baylis Medical undue hardship.

The Integrated Accessibility Regulation (IASR) under the AODA was enacted in June 2011. Section 4(1) of the IASR requires employers with 50 or more employees to develop, maintain and make publicly available a multiyear accessibility plan.

Baylis Medical’s “AODA Policy_v2” and “Statement of Commitment to Accessibility” were issued 12-Jul-2017. The policy discusses the AODA standards as they relate to Baylis.

The “Statement of Commitment to Accessibility” is posted at Baylis facilities’ front desk. The Statement, along with the “AODA Policy_v3” can also be found on company’s Quality Management System.

Service Animals Individuals with disabilities who are accompanied by a service animal are welcomed at all of our Ontario locations, in areas open to the public.

Staff and volunteers receive training on how to interact and communicate with individuals with disabilities who are accompanied by a service animal.

Notice of Temporary Disruptions Baylis Medical will provide notice in the event of a planned or unexpected significant disruption in areas of the facility typically accessed by persons with disabilities.

The notice will include information about reasons for the disruption, its anticipated duration, and a description of alternative facilities.

The notice will be placed at all front entrances.

Feedback Process Feedback regarding the way Baylis Medical provides services and resources to persons with disabilities can be made verbally at any front desk, by email, online through our feedback form, by phone or by mail.

Baylis Medical will ensure that process is accessible to persons with disabilities by providing accessible formats and/or communications support, upon request.

Training

Baylis Medical provides training to:

  • All employees and volunteers
  • Every person who participates in developing Baylis policies
  • Every other person who provides goods or services on behalf of Baylis Medical

Training includes the purpose of AODA, the requirements and instruction about the following:

  • How to interact and communicate with persons with various types of disability
  • How to interact with persons with disabilities who use an assistive device
  • How to use equipment or devices available at Baylis facilities
  • What to do if a person with a disability is having difficulty accessing Baylis’ services or facilities

For those with access to a computer and the Learning Management System, initial training is taken online and due within 120 days after the person’s start date.

For those without access to computers or the Learning Management System, initial training is done in person and is completed within 120 days after the person’s start date.

When policies, practices or procedures on the provision of goods or services to people with disabilities change, updated training will be provided.

Training records are kept in the Learning Management System, including the date of completion.

The training policy is indicated in “AODA Policy_v3”, it summarizes the content of the training and specifies when training is provided and to whom it is provided.

Part 4: IASR – Employment Standard

Baylis Medical includes language in job postings to make applicants (internal/external) aware that accommodations are available for persons with disabilities.

When individually selected to participate in an assessment or selection process, Baylis Medical informs applicants via email that accommodations are available upon request in relation to the materials or processes to be used.

When making offers of employment, Baylis Medical notifies the successful applicant via the company’s employee handbook of its policies for accommodating employees with disabilities.

If a selected applicant requests an accommodation, Baylis Medical will consult with the applicant and provide or arrange for the provision of a reasonable accommodation, taking into account the applicant’s accessibility needs due to disability.

Emergency Response Information Baylis Medical will provide individualized workplace emergency response information to employees who have a disability, if the disability is such that the individualized information is necessary and Baylis is aware of the need for accommodation due to the employee’s disability.

If an employee who receives individualized workplace emergency response information requires assistance, with the employee’s consent, Baylis will provide the workplace emergency response information to the person designated to provide assistance to the employee.

Baylis will provide this information as soon as possible after becoming aware of the need for accommodation due to the employee’s disability.

  • When the employee moves to a different location in the company
  • When the employee’s overall accommodations needs or plans are reviewed

Individual Accommodation Plans

Baylis Medical has developed a template for the development of individual accommodation plans for employees with disabilities.

The template includes the following elements:

  • The manner in which the employee requesting accommodation can participate in the development of the accommodation plan
  • The means by which the employee is assessed on an individual basis
  • The manner in which Baylis can request an evaluation by an outside medical or other expert
  • The steps taken to protect the privacy of the employee’s personal information
  • The frequency with which the individual accommodation plan will be reviewed and updated
